2021 Summer Technology
Updated May 24, 2021
Please Remember To….
- Leave Desktop PCs and printers connected to power and network.
- Please do not cover your devices Windows computers or make them inaccessible to IT staff.
- Make sure your IT Support Tech has access to keys for any locked carts.
- Account for and properly store small technology items, such as remote controls, microphones, Bluetooth receivers, etc. Materials lost over the summer are a building replacement cost and responsibility. Label items that belong in your room with the room number.
- Take into consideration the Boise School District Gmail Retention Practice. All email is deleted when it reaches 1 year old.
- You can reset your password at https://myaccount.boiseschools.org/. Remember, the best password is often a phrase that you can easily remember. Complexity in a password is nice, but length is key, so shoot for a minimum password length of 8 characters.
- Leave any unused technology (extra cables, unused software) near your computers, and clearly label them ‘Discard.’ We will repurpose elsewhere if possible, or donate the ‘Discard’ labeled items.
Your Windows Desktop will be reimaged over the summer. Reimaging restores your computer to Boise School District settings, and all personal data, programs, pictures and software will be lost if stored on the local hard drive. Storing work files on your local hard drive is highly discouraged. Please use Google Drive to store data files. Upgrades may begin as early as May 27th. Please be prepared!
Your Windows laptop needs to be reimaged. Reimaging your device will likely improve the performance. Please put in a help desk ticket if you would like your device reimaged before the summer, or if you plan to leave your device in the building over the summer (include the device's storage location). You will need to ensure that your name is securely on the device, and the power adapter is included. Otherwise, your device will be reimaged at the beginning of next school year.
Apple MacBook, iMacs, and iPads
All staff using district Macbooks that do not use a Google login screen need to put in a help desk ticket to have their device upgraded to the latest operating system. The device will need to be wiped and enrolled properly into the district management system. IT staff may need access to Apple devices. Please securely store them for the summer break, but ensure that IT staff have access to the devices to be upgraded and cleaned as needed.
Devices need to be stored plugged in or with the battery disconnected over the summer. Allowing a lithium ion battery to completely discharge for long periods of time can permanently damage the battery. Devices can be unplugged for a week or two at a time, but should remain plugged in the majority of the time to ensure the battery has a charge. Chromebook replacement power adapters can be requested through the Boise School District Help Desk at http://support.boiseschools.org. There will also be also be a line item on the districts technology bid list to purchase them.
Employees Leaving the District
All staff that are leaving the district are required to return district devices to building principals by the last day of school (building principals, please do a work order to have these devices returned to district IT, Attention - Deb Jackson). Staff who will no longer be working for the Boise School District, including student Teachers and retirees, should plan to move their data from District devices, network drives, and accounts prior to the last day of school. Retirees will have full use of their AD and Google accounts for 90 days after their retirement date. Other non-returning staff should expect immediate disablement of their AD account, with access to their Google account for 90 days. All accounts are fully deleted 365 days after separation. For help saving Google files, emails, and bookmarks, please follow the instructions in our knowledge base article Google- Transfer Google Content (Separation) or Google’s How to Save Your School Google Files documentation.
In Google Drive, if a non returning staff member is the owner of documents that will be needed in the future, please make sure to change ownership of the documents or move to an appropriate Google Shared Drive. You will lose access to shared documents when the only owner of the document account is deleted. Only the current owner can change ownership or move to a Google Shared Drive. Alternately, you can request all Google Drive docs be transferred from one user to another. Please make this request through the Help Desk. Click here for more information about Google Shared Drives.
New Employees to a Site
When a new employee completes all paperwork with HR and is considered “active,” HR, Payroll and IT related accounts are created: Active Directory/Network or Computer, Badge building access, Google, Website, Infinite Campus, MyApps (Classlink), etc. Here is a short guide regarding these initial accounts How to access initial accounts and customize password. New certified staff will be guided to the DSC IT Department to pick up a district provided mobile device and to confirm that their login credentials are functioning. The administrative staff at your site must still submit requests to the Help Desk for phones, specific rights needed for Infinite Campus, SchoolDude, and B-Plus accounts. If you are unsure if this request has been made, please contact your new building administrative staff.
Certified Staff Transferring to Another Building
Staff member mobile devices (Chromebooks, Laptops, etc.) should already be checked out to individuals in Destiny. These devices go with these staff members when they transfer to a new position and are assigned to the individual. All other technology devices stay in the classroom.
Employees Changing Rooms at a Site
When an employee changes rooms, they take their mobile device and desk phone with them to their new classroom. All other classroom IT equipment, including printers should be left in the room. If the room you are moving to already has a phone, please place a sticky note on the phone indicating the current extension, and deliver it to the main office for reallocation.
